Maintain license settings, general address and contact information.

License

The status of your license is shown as “Active” or “Not active”. The latter is shown if you haven’t purchased a license yet, or if something is wrong with your payment details.

Purchase license

If you haven’t purchased a license yet, click on the “Pencil” icon to open the license details dialog. The dialog contains the Sessy pricing information.

Click on “Purchase license”. You will be sent to a Stripe checkout page. Enter the requested details and follow the steps to complete your purchase. After these steps you will automatically return to the Sessy.app backend. Check under “Settings” if the license status has been updated to “Active”.

Maintain license

Click on the “Pencil” icon to open the license details dialog. Click on “Maintain license”. You will be sent to a Stripe portal page. Here you can:

  • Cancel license: Click on “Cancel plan” to end your current license. The license will expire at the end of the current billing period
  • Add payment method: Add a payment method by clicking on “Add payment method” and follow the instructions.
  • Change payment method: First make sure you have added the payment method you want to use. Change which payment method to use by clicking on the 3 horizontal dots behind the desired payment method and click “Make default”.
  • Delete payment method: The default payment method cannot be deleted. Delete a payment method by clicking on the 3 horizontal dots behind the method and click “Delete”.
  • Change billing information: Click on “Update information” to change the billing information (address and contact details).
  • View invoice details: View the invoice history at the bottom. Click “View more” to show more of the past invoices. Click on an invoice to open it. Here you can choose to “View invoice details” for more details or to download the invoice as pdf.

Click on “Return to Sessy” to return to the Sessy.app backend.

Business name

Your business name entered here is used for:

  • The member app: Members will use the name to search for your business when they first subscribe. They will also see the name on their “Account” page. A member can be subscribed to multiple business’s (service providers) in Sessy and are able switch between these through a dropdown menu on the “Account page”. Make sure your name is easy to find/ recognize.
  • The Sessy backend: The left menu bar will show your business name below the logo

To change the business name:

  • Click on the “Pencil” icon
  • Change the name in the text form field
  • Click on the “Save” icon

Contact details

To maintain the address (street address, postal code, city, country, time zone):

  • Click on the “Pencil” icon to open the address dialog
  • Update the required information
  • Click on the “Save” icon

To change the phone, email and website details:

  • Click on the “Pencil” icon
  • Change the name in the text form field
  • Click on the “Save” icon

Terms & conditions

When members subscribe, Sessy displays a link to your terms and conditions page in order for them to be able to review the terms and conditions they are agreeing to. This is legally required in most places, so make sure you provide a correct hyperlink here.

Privacy policy

When members subscribe, Sessy displays a link to your privacy policy page in order for them to be able to review what personal information you will be using and how it is processed. This is legally required in most places, so make sure you provide a correct hyperlink here.

Tax

Sessy supports definition of tax rates for each tax type (e.g. VAT, Sales Tax, etc.) in your country. Taxes are automatically added to the invoice amount based on the tax rate defined in the subscription and purchase items settings. Since tax rates are country specific, you can define different tax rates for different countries. Also, because tax rates change over time, you can define different tax rates for different time periods.

  • Initially the system loads the tax rates based on the country you selected when setting up your business, but these are not always correct. Review them and update them as needed.
  • The system is set up with tax rate types (e.g. VAT High, VAT Low, VAT Reduced, VAT Zero, VAT Exempt, VAT None, etc.). Each tax rate type can have multiple tax rates (e.g. 20%, 10%, 5%, etc.), each for a different time period.
  • Click the pencil icon to edit the tax rate type settings (name, description, etc.) or to delete the tax rate type.
  • Click the pencil icon next to a tax rate percentage to edit the tax rate percentage or validity period.
  • Click the plus icon to add a new tax rate percentage.
  • Click on the “Add tax rate type” button to add a new tax rate type.

Automatic emails

Sessy can send automatic emails to members, for example, when their subscription expires or when they cancel their subscription. These emails are sent to the email address the members have used to set up their account. You can configure the automatic emails in the “Automatic emails” section.

  • Start by selecting the automatic email you want to enable - only enabled automatic emails are sent to members
  • Click on the pencil icon to open the automatic email editor for an enabled automatic email
  • Each automatic email has a default subject and a body, which can be adjusted to your liking and are maintained in multiple languages (select the language at the top right of the editor to switch languages).
  • By default the editor is a simple text editor so you don’t have to worry about html. You can switch to a html text editor by clicking on the “</>” button.
  • Variables can be used in the email body to insert dynamic content. These variables are inserted using the % % syntax. For example, %NemberName% will be replaced with the member’s name. Click on the “Variables” button to see a list of available variables.
  • If you want to revert the email to its default settings, click on the “Reset” button.

Member signup through the website

It is possible to allow members to sign up for a subscription through the website. The registration process is completed on the Sessy.app backend website. Just redirect members to the registration page with the boxId as a query parameter. Specifically, the URL is: https://backend.sessy.app/#/register?boxId={boxId} Replace {boxId} with the boxId of your business, which can be found in the “Settings” section of the Sessy.app backend website.

This URL will allow members to sign up for a subscription or book a trial session. By default the screen to select a subscription is shown initially. If you want to show the trial session screen initially, you can add the query parameter trialSession to the URL: https://backend.sessy.app/#/register?boxId={boxId}&trialSession=trialSession

The process to sign up for a subscription or book a trial session is as follows: 0. If no boxId is provided, the member will be asked to select a business first, they will have to search on the business name to find it

  1. The person will be asked to create an account, or log in if they already have an account
  2. The person can then select between a subscription or booking a trial session
  3. The person is shown a confirmation page where they can review their selection and confirm their subscription or trial session. This page also includes a link to the app for iOS and Android. The person can also use this page to reschedule their trial session if needed.
