Locations/ calendars

Create and maintain the calendars/ locations needed for scheduling.

Calendar/ location introduction

A session is always scheduled in a location/ calendar (or a ‘schedule’). If you define multiple locations/ calendars, members will be able to select a location/ calendar to find the sessions of their interest more easily.

Typically a location/ calendar coincides with the schedule of a location (e.g. if you have multiple physical locations where sessions are organized simultaneously) or of an employee (e.g. to book personal training sessions with a specific personal trainer).

Locations/ calendars can also be used to limit access to sessions (locations/ calendars can be included/ excluded in a subscription. Go to Subscription settings →.

Exclude a location/ calendar from all subscriptions to use it for personal scheduling of employees (e.g. to keep track of work hours other than sessions), or for instance for sessions that are not visible for members and can only be booked through the backend.

Add/ change calendar

Options in the Locations/ calendars section on the “Settings” page:

  • Add a location/ calendar by clicking on the “Plus” icon
  • Change an existing location by clicking on the row in the table

Adding or changing a location/ calendar will open a dialog where you can:

  • Define the name of the location/ calendar
  • Add a description of the location/ calendar for customers to more easily understand which is which
  • Delete a location/ calendar by clicking on “Delete”
  • Once finished click on “Save”, or on “Cancel” to disregard the changes

The name and description are displayed in the member app together in a tile, on the “Account” page of the app. Keep both the name and description relatively short, so they each fit on a single line of text in the member app.

Delete calendar/ location

Some considerations for deleting calendars/ locations.

  • Locations/ calendars are often part of (some) of the subscriptions of your members. They won’t be able to see/ access the location/ calendar anymore
  • Deleting a location is only possible after all scheduled sessions have passed (i.e. there are no ‘future sessions’ anymore)
  • Once a location/ calendar is deleted, it cannot be recovered. Are you sure you don’t need it anymore?
