Member tags

Maintain the tags you want to be able to assign to members.

Member tags introduction

Tags can be attached to members to notify the employee assigned to the member and the employee responsible for a session that the member will attend.

The main idea of tags is that employees are informed about certain personal situations of members and can act accordingly during the session for a more personal treatment. For example:

  • Congratulate a member with the whole group on their Birthday
  • Adjust a workout for a person with an injury
  • Ask why a member was absent for a relatively long period (vacation or something else?)
  • Etc.

Tags are visible to employees in a number of ways:

  • Dashboard: On the dashboard page an employee can view the sessions they are responsible for. In the session details the list of registered members will show tags for each member (if applicable)
  • Calendar: In the session details the list of registered members will show tags for each member (if applicable)
  • Member overview: The tags assigned to the selected member are displayed at the top of the page
  • Member app: On the info page an employee can view the sessions they are responsible for. In the session details the list of registered members will show tags for each member (if applicable)

Members can be tagged for any number of reasons, for example in case of an injury. You can define as many custom tags as you need.

Automatic tags

For some specific situations, automatic tags (e.g. birthday, first session) have been defined. These tags are assigned automatically when the event occurs.

Automatic tags exist for the following situations:

  • Birthday: The birthday tag is assigned to the member on their birthday
  • NewMember: The NewMember tag is assigned to a member the first X days of their membership. The number days can be specified in the settings of this tag
  • FirstSession: The FirstSession tag is assigned to a member when he or she visits a session type for the first time and may need additional help/ coaching during the session
  • Absence: The Absence tag is assigned after an extended period of time where the member did not register for any sessions. You can specify the number of days in the settings of this tag
  • SingleSession: The SingleSession tag indicates that the person attending the session does not have a subscription (for this session type). He/ she could be for instance be a ‘drop-in’ visiting just once and may need additional help/ coaching during the session

Each of these automatic tags can be enabled/ disabled.

Automatic tag settings

To adjust the settings of an automatic tag, click on the tag in the tags list on the “Settings” page. The tag dialog opens that allow you to:

  • Enable/ disable the tag through the “Active” checkmark
  • Specify additional settings if applicable (e.g. number of days in Absence tag)
  • Customize the color for the tag (make sure the tag colors are different from each other and look good in light mode and dark mode)

Add/ change custom tags

Options for custom tags in the tags section on the “Settings” page:

  • Add a new custom tag by clicking on the “Plus” icon
  • Change an existing custom tag by clicking on the row in the table

Adding or changing a tag will open a dialog where you can:

  • Specify the name of the tag (keep it very short so it always fits on the screen, even with multiple tags assigned to a single member)
  • Add a description that explains in what situation the tag should be applied
  • Select a color for the tag (make sure the tag colors are different from each other and look good in light mode and dark mode)
  • Once finished click on “Save”, “Delete”, or on “Cancel” to disregard the changes
