What to test and set up during the trial period, before going live.

Basic setup complete! what’s next?

All settings for a basic setup have been completed, what are some of the apps key features and next steps for a successful trial?

A. Payment collection setup

Choose how you want to collect payments from your customers, using one the methods described below. More details about how to choose and setup your payment collection method can be found on the page Payment collection settings β†’

Complete these settings before subscribing your first customer.

Direct debit export

Use your business’ bank account to collect member payments through SEPA direct debits. Admin users can create a payment batch that can be imported in your online banking environment for processing. The Sessy app will collect the required IBAN account information from your members, but you are responsible for collecting the required direct debit authorizations from your members and the approval from your bank to collect direct debits. Please note that this functionality is only available for SEPA direct debits and not tested for all banks, test the export and import in your bank environment before subscribing customers. Stripe integration

Stripe is a payment processing platform that collects all the required information and the payments from your members. Then Stripe pays out the received funds to your account. Stripe enables you to offer multiple payment options to your customers (including iDEAL, credit cards and SEPA direct debits). Read more about Stripe on their website β†’

Offline payments

If you will be using another payment method (not on the Sessy platform), you still need to make sure the Payment settings are entered correctly on the settings page under “General settings”, to avoid unnessecary payment are collected through the Sessy platform.

B. Install the member app

Before communicating to your app to (potential) customers, install and test the member app on Android and/ or iOS. Does everything look and work as expected? If not, adjust your settings in the backend (more info in the description below). Search for Sessy on the App Store and/ or Play Store.

C. Optional additional settings

On the Settings page there are lots of options for further configuration, such as:

1. Add employees

Assign either the Admin or Employee role to as many people as needed, depending on their role in your business. For more details go to Role settings β†’

2. Define shop products/ services

Keep track of (non-session related) purchases of your members (e.g. merchandise, snacks, drinks) and include them in the monthly payment (depending on your payment collection method settings). For more details go to Shop items settings β†’

3. Notification settings

Define what notifications employees should receive automatically about members and when they should receive them (e.g. Birthday of a member, long absence, time for a periodic β€˜check-up’, etc.). For more details go to Notification settings β†’

4. Tags

Define what tags you want to assign to members (e.g. first session of member, birthday, injury). Tags are visible in the member profile and also in the β€˜attendee’ list of each session. This way employees/ coaches can easily maintain and build meaningful relationships with members. For more details go to Tag settings β†’

5. Checklists

Set up checklists; lists of actions that need to be completed for a member in certain situations (e.g. a new joiner checklist). You can define as many checklists and actions as needed. For more details go to Checklist settings β†’

D. Other features

Some other key features of Sessy to familiarize yourself with during the trial period.

1. Weekly schedules

Set up weekly schedules for each calendar/ location that you have defined, including the related employee schedule. For more details go to Weekly Schedule β†’

2. Schedule sessions

Schedule actual sessions for members to subscribe to. For more details go to Calendar β†’

3. Onboard test members

Try subscribing to your own services through the app. Does everything look and behave as expected? Do this by:

  • Installing the app on Android or iOS
  • Logging in with your own account, or creating a temporary account (after creating the user account, search for your business and select a subscription to subscribe to your business)
  • Trying out the different app functions, such as registering for sessions, sending notifications from the backend, etc.

4. Member overview

The member overview page shows all relevant details for each member in one concise overview, with personal information, subscription details, statistics (e.g. average sessions per week, session history), purchase history, notifications, all notes made by employees, file attachments, and much more!

5. Communication through the app

There are several options for communication with your member, for example:

  • Post a message to the app info page, for all members
  • Send a notification to all members, a certain group of members (e.g. everyone with a session today), or to a specific member
  • Communicate session details by adding a unique description to a session type. This can be a standard message per session type, a unique message per session type per day (e.g. daily programming), or unique information for each individual session Get familiar with the options to communicate to ensure smooth communication with your clients

6. Reporting

Check out the report section for key KPI’s and insights, for example:

  • A full overview of all your members and their high level stats (e.g. subscription, average visits, assigned employee, etc.
  • A dashboard with workout results for all the ‘benchmark’ workouts that you scheduled for your members (if members enter their results)
  • An overview of all sessions with key details such as occupancy and no-shows
  • Occupancy analysis with detailed occupancy metrics per day, per time, per location, per session type, etc.
  • Revenue reporting with high level trends and ability to drill down to underlying details
