How to schedule and maintain sessions.

Calendar/ location

The calendar can be maintained for each calendar/ location you have created in your settings. Switch between calendar/ location with the drop-down button at the top left of the page.

Move between weeks by clicking on the “Arrow” icons at the top of the page. The week number and the dates are at the top of the calendar.

Note that the weekly recurring schedule and the actual session calendar are separated so you don’t have to adjust the ‘standard’ schedule for temporary changes.

Your default location/ calendar is determined by your personal profile settings. Want to change your default location/ calendar? Go to Profile Settings →

Scheduling a week

To schedule a week based on the recurring schedule:

  • Go to the week you want to schedule (using the “Arrow” icons or by swiping on your mobile)
  • Click on the “Menu” icon (with three vertically placed dots)
  • In the pop-up menu click on “Schedule full week”

In case there are any days on which the schedule needs to be cleared (e.g. in case of a Holiday), click on the same menu icon and select “Clear <weekday>”.

Using the same method it is also possible to clear the schedule of a whole week by selecting “Clear all sessions”…

Single session

Add a single event by:

  • Clicking on the “Add a single session” (or the “Plus” icon in case you are on mobile), or
  • Clicking on the desired day, or
  • Clicking on the desired day and hour (but not on an existing session)

Adjust an existing session:

  • Click on the event you want to change

Adding and/ or adjusting a session will open the Session detail screen where you can (from top to bottom):

  • Search and add members to the session (members will receive a notification if you add them)
  • View the members currently registered for the session (click on the “Registered: X/X” tile to expand the list).
  • De-register members from the session (expand the “Registered: X/X” list and click on the “Cross” icon)
  • View members on the waitlist (and add them to the session by clicking the “Plus” icon if desired)
  • Change the session type by selecting from the list of session types
  • Add/ change the description for the session. Members will be able to see the description when they register for the session
  • The date of the session
  • The start hour and/ or minute
  • The duration
  • The number of available spots
  • Whether members can purchase this session and if so, the session cost. If you allow ‘single purchases’, any member that doesn’t have the session type included in their subscription can choose to register by paying the session cost (the extra charge will be clearly indicated to the member when registering for the session)
  • The employee responsible for the session

Click on “Save” to save the changes, “Cancel” to disregard the changes, or on “Delete” to delete the session.

Programming benchmarks/ result logging

To enable members to log their results on a workout, click on the “Target” icon (3 circles) when editing a session. In the pop-up dialog search for the desired benchmark and select it. The description will automatically be added to the session description. Feel free to edit the session description, this will not remove/ change the link to the benchmark.

Changing or removing the benchmark from a sessions can be done by clicking the same “Target” icon, click the “Trashcan” icon to remove or search and select a different benchmark to change it.
